Ahmad Academy ("the School", "we", "us", "our") operates the website at ahmadacademy.com.pk and the School Management System at hool-management-system-e8b.pages.dev. The School is an educational institution based in Lahore, Pakistan. This policy explains what personal information we collect through these digital services, why we collect it, and how we keep it safe.

2. What we collect

We collect only the information that is necessary to run the School and to respond to enquiries made through this website. Specifically:

  • Enquiry forms: name, email, phone, and the message you submit — used solely to respond to your enquiry.
  • Server logs: standard technical logs (IP address, browser, pages visited, timestamp) retained for up to 30 days for security and abuse prevention.
  • Portal data: when you sign in to the School Management System, the portal collects attendance, marks, fees, and contact details for enrolled students and their families. This data is collected under a separate lawful basis (the School's educational function) and is governed by the portal's own terms, not this public website policy.
  • Cookies: this website does not set advertising cookies. If you enable Google Analytics in the future, we will update this policy and provide a cookie consent banner before any analytics cookie is set.

3. Why we collect it

The information collected through enquiry forms is used to respond to your message and, where relevant, to follow up about admissions. Server logs are used to monitor for abuse and to diagnose technical problems. Portal data is used to deliver the School's educational function — recording attendance, marks, fees, and parent-teacher communications.

We do not sell personal information, and we do not share it with third parties for marketing. Where we are required by law to share information — for example, with the Federal Board or with a government regulator — we share only what is legally required.

4. How long we keep it

Enquiry form submissions are kept for up to 12 months in case a follow-up is needed, and then deleted. Server logs are kept for 30 days. Portal data is retained for the duration of a student's enrolment and for a defined period afterwards, in line with the School's records-retention policy — typically seven years after a student leaves, to allow for the issuance of transcripts and to meet regulatory requirements.

5. Your rights

Under applicable data protection law, you have the right to request access to the personal information we hold about you, to request correction of any inaccuracies, and in some circumstances to request deletion. To exercise any of these rights, please email info@ahmadacademy.com.pk with the subject line "Data request". We will verify your identity before disclosing any personal information.

6. Security

All data transmitted between your browser and our servers is encrypted using HTTPS. The portal enforces strict row-level security at the database level, so a teacher can only see the students assigned to them, and a parent can only see their own children. Administrative access is logged and reviewed periodically.

No system is perfectly secure. If we become aware of a breach that is likely to affect your rights, we will notify you and the relevant regulator without undue delay, in line with our legal obligations.

7. Children's privacy

This website is not directed at children under 13, and we do not knowingly collect personal information from children through the public site. The School Management System, where student data is held, is operated under the authority of the School and with the consent of parents and guardians at the time of enrolment.

8. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in applicable law. When we do, we will update the "last updated" date at the top of this page. We encourage you to review this policy periodically.
